Plenix 2026.10.16 — Books that keep themselves
Every invoice, bill, credit note and payment now posts to your ledger by itself, whichever part of Plenix raised it. Record part payments, void a payment made by mistake, credit an invoice properly, and prepare a VAT return straight from your ledger.

The Plenix Team·4 October 2026·5 min readRelease 2026.10.16 is about one thing: your books now follow your work. Send an invoice, approve a bill, issue a credit note or take a payment, and the ledger is updated for you, so your reports and VAT figures come from the same records your team uses every day.
New features
- Everything posts to the ledger by itself. Sent invoices, approved bills, issued credit notes and every payment are posted automatically. That includes invoices raised by recurring schedules, projects, tickets, quotes, managed print and the customer portal.
- Part payments. Click Payments on an invoice or a bill and record what was actually paid. Pay less than the full amount and it becomes Part paid, with the balance still showing as owed.
- A Payments page. Accounting → Payments lists every payment in and out. Filter by money in or money out, search, and open any payment to see what it was paid against.
- Void a payment. A payment entered by mistake can be voided by an administrator with a reason. The invoice or bill is owed again and the payment stays on record.
- Credit notes that count. A credit note is now raised against an invoice. Issuing it reduces what the customer owes and credits the VAT in proportion. Voiding it puts the amount back.
- VAT returns from your ledger. Choose a period and Plenix shows sales, purchases, VAT due and VAT to reclaim. Recalculate while it is a draft, then mark it as submitted to lock the figures.
- Reverse a journal entry. Undo a manual journal with one click. Both entries stay in the books, each marked with the other.
- Posting accounts. Accounting → Settings shows which account each kind of posting uses, and lets you change it if your chart of accounts is different.
Improvements
- Bank reconciliation does the bookkeeping. Matching a bank transaction to an invoice or a bill records the payment. A smaller amount is recorded as a part payment. Fees and other items can be posted to the account they belong to, and Unmatch undoes all of it.
- Recurring invoices have proper lines with their own tax rates, daily to yearly schedules, an optional end date, and a choice between sending each invoice automatically or raising a draft for you to check. Each schedule lists the invoices it has raised.
- Invoices show the full picture. Paid, Credited and Balance due appear under the total, in Plenix and in the customer portal.
- Customers can pay a part-paid invoice from the portal for the remaining balance.
- Closed periods no longer get in the way. A document dated in a closed period is posted with today's date and a note of the original. If today is closed too, the posting waits and goes through by itself once the period is reopened.
- Reopening a closed period needs a reason, which is shown on the period.
- Anything that has not reached the ledger is flagged Not in the ledger on the document, so nothing goes missing quietly.
Changes
- Draft invoices are no longer posted. An invoice reaches the ledger when it is sent, and a bill when it is approved. Postings made for drafts in the past are reversed automatically.
- Your existing history is brought into the ledger. Invoices, bills, credit notes and payments that were never posted are posted after the update, so your reports may show figures that were missing before.
- Paid and Part paid are set by payments. To change them, record or void a payment.
- Credit notes must name an invoice. A credit note with no invoice can no longer be created.
- Marking a VAT return as submitted locks it. It still does not file with HMRC: use the figures to file through your own HMRC account.
- In the customer portal, Pay takes the customer to the payment page or shows your bank transfer details.
Fixes
- Invoices raised outside the Invoices page were missing from the ledger. They are now posted like any other.
- A posting that failed used to be lost without a message. It is now shown on the document and retried every ten minutes.
- Credit notes did not change the invoice balance or the ledger. They now do both.
- Cancelling or voiding an invoice or a bill now reverses its posting.
- Editing an invoice or a bill after it was posted now adds a correcting entry for the difference.
Security
- Recording payments, approving bills, issuing credit notes, posting journals and changing accounting settings now require an administrator or manager. Voiding a payment requires an administrator.
- Customers can no longer mark their own invoice as paid from the portal. An invoice is paid only when a payment is received.
